For digital resumes and job portals: JPEG under 200KB, around 400×500 pixels. For print resumes: 2×2 inches (US) or 35×45mm (Europe/Asia) at 300 DPI — that's 600×600px or 413×531px respectively. JPEG is the correct format for both. Avoid WebP and HEIC — most word processors won't import them correctly.

Digital vs print: they need different file specs
The biggest mistake with resume photos is treating digital and print as interchangeable. They have opposite requirements.
For a digital resume (PDF emailed or uploaded to a job portal), the photo will be viewed on screen at maybe 80–120px wide. A file that's 400×500 pixels at 96 DPI is plenty — more pixels don't make it look better on screen, they just make the PDF larger. A 5MB photo embedded in a Word document doesn't look better than a 150KB photo; it just makes the file slower to open and process.
For a print resume, the photo will be physically printed and needs 300 DPI at the intended print size. 35×45mm at 300 DPI means the file needs to be at least 413×531 pixels. At 72 DPI (screen resolution), a 413×531 pixel image would print at about 5.7×7.4 inches — far too large. The DPI value tells the printer how densely to map pixels to physical space.
If you only ever submit resumes digitally: prepare at 400×500px, JPEG at 80% quality, under 150KB. For print: use the DPI-appropriate dimensions above.
How large photos cause ATS problems
Applicant Tracking Systems parse resumes to extract text and store it in a database. Most ATS tools handle PDFs and Word documents. When a large embedded image is present, the ATS must process more data for the same information — some parsers handle this gracefully, others produce errors, truncated text, or failed imports.
More directly: many recruiters and ATS systems specify a maximum resume file size — typically 2–5MB for the entire document. A resume PDF with a well-optimized template and appropriate text is usually 100–500KB. Embed a 3MB photo and you've used most of the allowance before the text is accounted for.
Compress the photo to under 200KB before embedding it. This is large enough for any on-screen display and leaves the overall resume file well within common ATS limits.
Country conventions: when to include a photo at all
This is the context most technical guides skip entirely, and it matters more than the pixel dimensions.
- Include a photo: Germany, Austria, Switzerland, France, Spain, Italy, Netherlands, Japan, South Korea, China, Middle East, much of Latin America. A professional headshot on the CV is standard and its absence may be noticed negatively.
- Do not include a photo: United States, Canada, United Kingdom, Australia, Ireland, New Zealand. Recruiters are trained to screen blind. A photo introduces visual information that employment law in these countries is designed to remove from the hiring decision. Many US/UK recruiters will discard a resume with a photo to avoid any appearance of bias.
If you're applying across multiple countries simultaneously, prepare two versions — one with a photo, one without.
Format: why JPEG beats PNG for resume photos
For a headshot photograph, JPEG compresses more efficiently than PNG. A headshot at 400×500px as PNG is 300–600KB; as JPEG at 80% quality it's 30–80KB. They look identical at that size on screen, but the JPEG is 5–10× smaller.
Avoid WebP and HEIC. Microsoft Word on Windows doesn't import WebP natively. Google Docs handles it, but older versions of Word (still common in corporate environments) don't. A resume where the photo shows as a broken image placeholder because the employer's IT department is running Office 2016 is not a recoverable situation. JPEG is universal.
